Who I am
The Response Studio is run by Georgia Ropek as a Sole Trader. I'm the data controller for any personal information collected through this website, which means I decide how it's used and I'm responsible for looking after it.
I'm registered with the Information Commissioner's Office (ICO), registration number ZC267212.
You can contact me about anything in this policy at hello@theresponsestudio.co.uk.
What I collect
When you email me: your name, email address, the organisation you work for, and anything you include in your message.
When you visit this website: if you accept analytics cookies, my website platform (Squarespace) collects information about your visit, such as pages viewed, approximate location, device and browser type, and how you arrived at the site. This is used in aggregate to understand how the site is used; I don't use it to identify you.
I don't collect payment details through this website, and I don't knowingly collect information about anyone under 18.
How I use your information
I use your information to:
reply to your enquiry and arrange an introductory call, because I have a legitimate interest in responding to people who contact me
prepare a quote or proposal and agree terms, because you've asked me to before we enter a contract
deliver work and send invoices if we work together, to fulfil our contract and meet legal obligations such as keeping tax records
stay in touch about relevant work where we've already been in contact, because I have a legitimate interest in maintaining professional relationships (you can ask me to stop at any time)
understand how the website is used, with your consent through the cookie banner
I won't sell your information, and I won't add you to a mailing list without your permission.
Who I share it with
I only share your information with trusted services that help me run the business, and only as much as they need:
Squarespace, which hosts this website and provides site analytics
Google Workspace which handles my email
Attio, the CRM system I use to keep track of client and enquiry contacts
Xero and my accountant, for invoicing and tax, if we work together
Some of these services store data outside the UK, including in the United States. Where that happens, they use safeguards approved under UK data protection law, such as standard contractual clauses or the UK–US data bridge.
I may also share information if the law requires it.
How long I keep it
Enquiries that don't lead to work: up to two years, then deleted
Client records and invoices: six years after our work ends, as required for tax purposes
Website analytics: kept in line with Squarespace's own retention settings
Cookies
This website uses cookies that are needed for it to work, and, with your consent, analytics cookies that help me understand how it's used. You can accept or decline analytics cookies through the banner when you first visit, and change your choice at any time in your browser settings.
Your rights
Under UK data protection law, you have the right to:
ask for a copy of the information I hold about you
ask me to correct anything that's wrong or incomplete
ask me to delete your information
object to, or ask me to limit, how I use it
withdraw your consent at any time, where I rely on consent
ask for your information in a format you can take elsewhere
To use any of these rights, email hello@theresponsestudio.co.uk. I'll respond within one month, and there's no charge.
Complaints
If you're unhappy with how I've handled your information, please let me know first so I can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
I'll update this policy if the way I use personal information changes, for example when I add a newsletter or online booking. The date at the top shows when it was last updated.
